ACCELERATED SERVICES OEM LOADING GUIDELINES AND PROCEDURES
Make sure you are aware of severe weather in your location. We have already seen several hailstorms and Summer officially starts on June 21st. If you are caught in a hailstorm or other severe weather, stay safe then you need to make sure you document it.
Take photos of the hail, note your location exactly. We need, the time and date, and take a screen shot of the local weather report noting the severe weather. Report the severe weather to the office and the load number you are currently on. Once the weather has passed inspect your load for damages. You will need to note them at delivery with the comment “hail damage” with photos in Magnus.
I know you are as frustrated as I am with some of these dealers and their ever-changing inspection hours and demands. Many of you are running into dealers wanting you to drop STI during their inspection hours. We do not want to drop STI during inspection hours because that leaves you open to claims that we can’t deny. If you are dropping at a Port or Auction that is an automatic STI drop.
If you run into a dealer wanting this, please DO NOT use the refusal to sign button on Magnus. (see below) if you check this box, it does not list it on your delivery receipt or anywhere that helps us deny a claim., so please quit using this.
The process you need to follow if a dealer asks you to drop STI during inspection hours is: Get the dealers full name, and make sure it is someone who has authority to sign for deliveries. Get their email address then unload the units for delivery. DO NOT let them have access to Magnus so they can mark STI. Once that happens, we can’t change it.
Where you would normally type in the receivers name you need to put their “ First Name, Last Name refused to inspect during inspection hours. Put a big X for the signature, then input their email address in Magnus so they get the delivery receipt and move on with your day.
Make sure you are looking at the manifest to ensure you are there during the inspection hours before following this process. If the dealer attempts to make a claim, I will be able to pull up the delivery and see who refused to inspect and what date and time and then deny if during their inspection hours. Please do not write STI in the signature box, if you don’t get a signature there should be nothing there.
If you are dropping STI you can use the STI box in Magnus to note this. If this box it grayed out then either the dealer does not allow STI, or we do not have their profile information so you will need to obtain this and get it back to Customer Service to input on their profile.
No one should be using the COVID procedures for signatures as that has expired. You must obtain a signature at deliveries on your Magnus App.
